After a consultation, families usually decide at home, days later. A proposal gives them your options in one clear place. A reminder makes sure you follow up if they go quiet. For classes you run every term, duplicating the event saves setting it up again.

Send a package proposal

Sending prices in the body of an email, or as attachments, makes it harder for a family to compare and commit. A proposal is a single branded page with the packages you discussed, priced for them, and a button to confirm. It looks professional, it is easy to share with a partner, and it tells you the moment they decide.

  1. Open Packages, click Send to client, and tick the packages to include.
  2. In Send packages to a client, choose the client. Change a price for this proposal if you agreed something different. Your listed prices stay the same.
  3. Choose Pick one if they should choose a single package, or Pick any if they can combine them, such as birth support plus a postnatal add-on.
  4. Add a personal note, and your Terms & policies if you want them shown on the page. Terms are not included in the email itself.
  5. Set how long the link is available and the page background. Then choose Send by email, or Copy link only to send it yourself by text or WhatsApp.

When the family chooses

A quick response after someone says yes makes a good first impression, and it gets the deposit invoice out while they are still ready to pay. DoulaOne tells you as soon as they choose and makes the next step one click.

  • The family can add a note and clicks Confirm my choice.
  • You get a Package chosen notification and an email with a Create invoice link, prefilled with the packages and prices from the proposal.
  • The client record is tagged with the packages they chose. The proposal being sent and the package being chosen both appear on the client timeline.

No invoice is created automatically, so you can check it first. You can resend a proposal or void it if the offer is no longer open.

Clients

Set a reminder

Most missed follow-ups are not a lack of care. They are a note on a scrap of paper, or a task that depended on remembering. A reminder is attached to the client, so you see the context when it comes due, and it can notify you by email even when you are not logged in.

  1. Open the client and click Add reminder, or use the Reminders tab.
  2. Write the Reminder, add Notes if useful, and tick Flag as urgent if it cannot wait.
  3. Turn on Schedule a notification, choose when, and choose how to be notified: in the app, by email, or both. A time that has already passed notifies you straight away.
  4. Save. You can complete it from the client overview when it is done.

Reminders are for you and your team. The client does not see them. On Pro, with DoulaOne AI turned on, the Reminders tab can suggest reminders based on where the client is in their care. Nothing is added until you accept a suggestion.

Duplicate an event

If you run the same course every term, rebuilding the page, price, sessions, and questions each time is unpaid admin, and a chance to get details wrong. Duplicate copies the event onto new dates as a draft, so you only change what is different.

  1. Open Events, open the event's menu, and choose Duplicate.
  2. Set the new start date. For a multi-session course, the other sessions move by the same amount. You can then adjust any session on its own.
  3. Create the copy. DoulaOne opens the draft with its own booking link and QR code. Review it, then publish.

The description, price, capacity, questions, header image, and settings are copied. The registration window moves with the new dates. Attendees, the waitlist, scheduled reminders, calendar sync, and the online meeting link are not copied, so nobody from the last run is registered or emailed by mistake. A paid event needs payouts set up before you can publish it.

Share an event with clients

Your current clients are often the most likely people to book a class. Telling them directly fills places faster than waiting for them to find it on your public page.

From a published event, choose Share with clients, pick one or several clients, and send. Each gets an email with a link to the event page.
