Booking mistakes across timezones lead to missed calls. Refunds handled outside DoulaOne leave invoices showing the wrong status. This update fixes both.

Bookings

Booking times in their timezone

If you work with families in other regions, or they are travelling, a time shown in your timezone relies on them converting it correctly. When they get it wrong, you lose the slot and they miss the call. Showing their local time removes that risk.

  • This applies to meeting links, personal client booking links, and Book a call on your public page.
  • Your weekly hours are still set in your workspace timezone.
  • For video and phone calls, families see available times in their own timezone and can change it if needed.
  • In-person appointments stay in your timezone, because that is where you are meeting.
  • Confirmation emails show their time first, with yours underneath, and include a calendar file.

Times use the 12-hour or 24-hour clock set in your workspace, so everything you send looks consistent.

Invoices

Refund a card payment

Refunds happen: a family moves away, a birth plan changes, or you agree to return a deposit. Handling the refund in DoulaOne keeps the invoice, the family's receipt, and your reports in agreement, so you are not reconciling them by hand at tax time.

  1. Open an invoice that was paid by card through DoulaOne and click Refund card payment.
  2. Confirm. The family receives the payment back minus Stripe's card processing fee, which Stripe does not return. The amount you were paid out is taken back from your balance. A refund cannot be undone.
  3. The invoice changes to Refunded. Use Email refund receipt to send the family a copy.

If the invoice was also partly paid by cash or bank transfer, refunding the card payment does not close it, because other money is still recorded. Filter the Invoices list by Refunded to see them all. Refunded invoices no longer count as income in Reports.

Event refunds work the same way

When a paid attendee cancels inside your event's refund window, they are refunded the same way: the payment minus Stripe's card fee. The attendee list shows what was paid, what was refunded, and the fee kept, so you can explain it to a family if they ask. Refunded amounts are shown separately in your event reports.
