Getting started
New to DoulaOne or choosing between free and Pro.
What's the difference between the free directory listing and Pro?+
Every doula can have a free directory listing on DoulaOne Find — your profile, packages, and an inquiry form so families can reach you. DoulaOne Pro is the full CRM: client pipeline, calendar, invoices, contracts, intake forms, birth plans, booking, and a customisable public page. You keep your free listing even if you cancel Pro. See pricing for a full comparison.
I only want a directory listing — do I need to pay or add a card?+
No. Choose List your practice when you sign up, or pick the directory option during signup. There's no card and no trial — you can list for free and upgrade to Pro whenever you're ready.
How does the 14-day Pro trial work?+
When you start the full CRM, you get a 14-day Pro trial. You'll add a card at checkout, but you won't be charged until the trial ends. Cancel before the trial ends and you won't be billed — you'll stay on the free directory tier. After the trial, billing continues monthly or annually unless you cancel from Subscription.
I signed up but I'm stuck before my workspace loads+
Finish workspace setup (practice name and region) on the onboarding screen. If you closed the tab, log in again — we'll pick up where you left off. If you confirmed your email on a different device, log in on this one with the same email. Still stuck? Use the contact form below with the email you signed up with.
Account & login
Signing in, passwords, and email confirmation.
I can't log in to my account+
Use Forgot password on the log-in page if you signed up with email and password. If you used Google, choose Continue with Google— you can't switch to a password on the same account. Make sure you're using the same email you registered with.
I didn't receive my confirmation email+
Check spam and promotions folders, and wait a few minutes. Add mail@doulaone.comto your safe senders. Open the confirmation link on the same device you plan to use DoulaOne on, if you can. If it still doesn't arrive, contact us with your signup email and we'll help.
Google sign-in didn't work+
Try again in a private window with pop-ups allowed, or use a different browser. If you previously signed up with email/password using the same address, log in that way instead — Google and email signup create separate accounts unless they were linked at registration.
Billing & subscription
Trials, charges, cancellation, and plans.
How do I cancel, pause, or change my plan?+
Open Subscription in your workspace. You can switch between monthly and annual billing, update your card, or cancel. Cancellation takes effect at the end of the current billing period — you keep Pro access until then.
Will I lose my clients or directory listing if I cancel?+
No. Your data is not deleted when you cancel. You drop back to the free directory tier and lose access to Pro CRM features until you resubscribe, but your listing on DoulaOne Find stays live. You can export your workspace data anytime from Settings.
Why was I charged / when does billing start?+
If you started a Pro trial, billing begins automatically when the 14-day trial ends unless you cancelled first. Directory-only signups are never charged. Check your receipt email or the billing portal in Subscription for the exact date and amount.
Which currency will I be charged in?+
Pricing is shown and billed in your local currency where we support it (GBP, USD, EUR). In other regions you're billed in USD at the same price point.
Directory & your public presence
Being found by families and managing inquiries.
My practice isn't showing on Find a doula+
Publish your directory profile from Directory in your workspace. You need a complete profile — services, location area, and listing enabled — before you appear in search. Changes can take a short time to appear.
How do families contact me through DoulaOne?+
Families use the inquiry form on your directory listing or public page. On Pro, new inquiries land in your Clients pipeline. You'll also get email alerts if notifications are on in Settings. Ask families to check spam if they don't see your reply.
I'm on the free plan — what can I customise?+
Free workspaces include your directory profile, one intake/inquiry form, and service packages shown on your listing. Custom link-in-bio pages, online booking, invoices, contracts, and the full client CRM require Pro. See Upgrade when you're ready.
Email & notifications
Sending mail to clients and getting alerts yourself.
Emails to clients are sent from DoulaOne, not my address+
Until your practice email is verified, messages send from DoulaOne with your business name, and replies go to the address you set. Go to Settings → Email and complete sender verification. Gmail and similar providers need a one-time code; custom domains (e.g. yourpractice.com) need DNS records from us first.
Clients say they aren't receiving my emails+
Confirm the client's email is correct, check that your sender is verified in Settings, and ask them to look in spam. Appointment reminders and invoices only send when those features are set up and the client has a valid email on file.
I'm not getting alerts for new inquiries or bookings+
Turn on activity alerts in Settings → Notifications. Check spam for mail from DoulaOne. If alerts are on and mail still doesn't arrive, contact us with your workspace email.
Running your practice
Clients, calendar, documents, and data.
Where do new leads and inquiries go?+
On Pro, they appear in your Clients pipeline under the Inquiry stage. You can drag cards through your stages from first contact to postpartum. Link an intake form in Forms to capture more detail automatically when a family submits.
What's the difference between an enquiry and an intake form?+
An enquiryis a new lead — from your public page, directory listing, or a shared intake form link (unless that submission's email/phone already matches a client, in which case we attach it instead). They show on your Dashboard under New enquiries and land in the Inquiry stage of your pipeline. An intake form sent to an existing client (from their Forms tab, or by emailing the form to that client) uses a personal link: answers always attach to their profile and do not create a duplicate lead. Use the public share link when you want new enquiries; use Send to a client when you already know who they are.
How do I sync with Google Calendar?+
Connect Google Calendar in Settings → Integrations. Appointments you create in DoulaOne can sync to Google, and you can pull external events in. If sync fails, disconnect and reconnect — make sure you approve calendar permissions when Google asks.
How do I connect Zoom for meeting links?+
Connect your Zoom account in Settings → Integrations, then choose Zoom when scheduling appointments or set Zoom as your public booking location. See our Zoom integration guide for connect, use, and disconnect steps.
Can I export my client data?+
Yes. Download a JSON export of your workspace from Settings for backup or portability. For account deletion or specific GDPR requests, contact us with your workspace email and we'll process it under our Privacy Policy.
Is my clients' data secure?+
DoulaOne is built for sensitive birth work. Data is encrypted in transit and at rest, hosted with providers that meet UK/EU standards, and covered by our privacy policy and DPA. You control who sees client notes and documents inside your workspace.
Families & general enquiries
If you're not a doula using the platform.
I'm looking for a doula — can you help?+
Browse doulas near you on Find a doula. Each listing has an inquiry form to contact them directly. DoulaOne is the software doulas use to run their practice — we don't match families to doulas centrally.
How quickly will support reply?+
We aim to respond within one to two business days. Include your workspace email (if you have one) and a clear description of the issue — screenshots help for technical problems.
Still need help?
Send us a message and we'll route it to our support team. We aim to reply within one to two business days.
